Use case · Vehicle & equipment distributors
Your reps sell machines. Drummer does the paperwork.
Drummer is the AI assistant for distributor sales teams on the road. Reps record a visit or speak a quick note in the app; Drummer updates the CRM, drafts the follow-up and reminds them what was said last time. Management gets a weekly view of what customers looked at and what is moving.
Sound familiar?
The visit happens on site. The report happens at 9 pm.
Reps drive between sites all day. Notes live on paper, in a chat app or in their head, and the CRM gets filled in late at night, or not at all.
“Which attachments did we quote again?”
Configuration, attachments, trade-in value, financing terms, delivery dates: one detail lost between the site and the quote means a wrong offer or a second visit.
Follow-ups slip in peak season
The demo that was promised, the quote that was due Friday, the customer whose fleet is up for renewal next spring. When everyone is busy, the next step is the first thing to go.
Management sees the pipeline weeks late
Rep reports differ in depth and quality, and nobody knows which machines customers asked about this week until someone builds a spreadsheet.
How it works
Record the visit, or just talk
Reps record the conversation on site with the phone app, screen locked and offline where the signal drops, or speak a 30-second voice note in the van afterwards. Drummer transcribes it in Dutch, French, German or English and turns it into a visit report on the right account in the CRM.

Before the quote
A competitor’s offer is on the table. Send the lease comparison with the quote, and ask for the trade-in details now.
Next steps, handled
After the visit, Drummer proposes the CRM updates: opportunity, stage, amount, next step and close date. The rep approves them in one tap. The follow-up email with the quote details, spec sheets and demo dates is drafted in the customer’s language, ready to send from the rep’s own mailbox.

Your two track loaders: quote and demo dates
Hi Kris,
Thanks for walking me round the yard today. As discussed: two compact track loaders before spring, with a grapple and an auger, on a 48-month lease.
The quote and the spec sheets follow by Friday. For the demo on your site, would Tuesday 10 or Thursday 12 November suit you?
Could you send me the hours on your two current loaders? Then I can add a trade-in value.
Best, Tom
Ask before you walk in
From the car, the rep asks what was discussed with this customer last time. Drummer answers in seconds: what they run today, what was quoted, who decides and what is still open, each point linked to the moment it was said. When a territory changes hands, the history stays with the account.

Agents for the jobs nobody wants
On top of each rep’s twin, agents take on the recurring work. Every Monday, management gets the report per region or branch: what customers asked about, last week’s priorities and whether they happened, deals that moved or stalled, and the competitors heard in the field. Others remind reps of fleet renewals, pass service and parts questions to the right branch, or write the monthly report for head office.

What it means for management
The view of the field you have been asking your reps for, without asking.
A pipeline you can trust
The CRM fills itself from real conversations, so the forecast stops depending on who remembered to type.
One weekly view of the field
The same report for every region, every Monday, without chasing a single rep for it.
Know what the market asks for
Which machines, attachments and terms customers ask about, before it shows in the order book.
Fewer lost follow-ups
Every promised demo, quote and callback becomes a next step that someone can see.
Territory knowledge that stays
When a rep leaves or a territory changes hands, the full account history stays with the account.
Faster onboarding
New reps start with the history of every account in their territory and learn from real visits by your best people.
Built for reps on the road
A tool reps see as surveillance does not get used. So Drummer starts with what the rep gets back.
Hands-free
Voice notes and voice questions from the car. No typing on a phone between two sites.
Works where the signal does not
The app records offline on site and uploads once there is a connection again.
Recording is a choice
A quick voice note after the visit works just as well as recording the conversation, and consent is built in when they do.
The rep approves first
Nothing goes into the CRM or out by email without the rep’s OK.
Works with what you already use
Drummer works with your CRM as it is set up today, custom fields and objects included.

Questions sales managers ask us
Do reps have to record every conversation?
No. A voice note after the visit is enough for most of them. Recording the conversation itself is for the visits that matter most: a first meeting, a demo, a quote review. The rep decides, and the team agrees on which visits it wants recorded.
Does it work in Dutch, French and German?
Yes. Conversations and voice notes can be in Dutch, French, German or English, and a rep can switch language mid-visit. The weekly report for management can be in English, whatever language the visits were in.
Can it work with our customised CRM or dealer management system?
Yes. Drummer reads and writes your CRM as it is set up today, custom fields and objects included. A dealer management system or a manufacturer portal is connected through an integration we build together with your IT team.
What do customers think about being recorded?
Reps ask first, in one sentence: “Is it all right if I record this, so I get the configuration and the dates right in the quote?” Most customers agree, because it is in their interest too. If a customer would rather not, the rep speaks a note in the van instead.
Is this a tool to monitor reps?
It is built to take the admin off reps and to coach them, and they see their own visits first. Nothing goes into the CRM or out to a customer without the rep’s approval. Managers get the overview per region, the way they see the order book today.
Where is the data stored?
In the EU. Recordings, transcripts and reports stay on European servers and are not used to train AI models. Who sees which accounts follows the roles you set.
Curious what this could mean for your sales team?
Thirty minutes with examples from machine and vehicle sales: a site visit, the quote that follows and the Monday report.
